The Unit Secretary performs secretarial duties utilizing specific knowledge of medical terminology and hospital, clinic, or laboratory procedures. The Unit Secretary work involves superb communication skills, clerical duties, organizational skills, and time management that assist with allowing clinical staff focus on patient care. The Unit Secretary also maintains a line of communication between the patient and clinical staff.
Duties include but are not limited to standard administrative responsibilities, such as answering phones, making copies, scheduling appointments and procedures, performing receptionist duties, maintaining an accurate supply count, ordering supplies, and communicating changes in supplies to other unit staff, ensure the nurses station stays clean and orderly at all times, meet and greet all patients that arrive to the floor, make sure that rooms are set up for the arrival of new patients, instruct patient and patient family on room controls (bed controls, call-light, TV, etc...), discuss communication board and turn clock with patient and family upon arrival to unit and during patient rounds, distribute and explain discharge folders to all patients, conduct EVS rounding- by checking for broken items, placing work orders, and checking expiration dates. Additionally, Unit
Secretaries can be expected to assist in maintaining high safety standards for patients by performing unit audits. While maintaining all of the duties described above, the Unit Secretary should also maintain efficiency within an electronic charting system.
Minimum Education: High school diploma or equivalent. Medical terminology preferred.
Minimum Work Experience: Previous clerical experience with basic knowledge of computer operation is preferred.
Medical Terminology preferred.
Required Skills: Requires high degree of accuracy, organizational skills and pleasant manner; good oral and written
communication skills; strong desire to teach others, computer skills and multiline telephone skills. Must be
willing to rotate shifts, days off, weekends and work areas.
