Summary of position:
The LPN/ Unit Secretary performs secretarial duties utilizing specific knowledge of medical terminology and hospital, clinic, or laboratory procedures. The LPN/ Unit Secretary work involves clerical duties to maintain an organized hospital unit and allow medical staff to focus on patient care. He or she also maintains a line of communication between the patient and clinical staff while reporting directly to the Nurse Manager. Duties include but are not limited to standard administrative responsibilities, such as answering phones, making copies, scheduling appointments and procedures, performing receptionist duties, taking patient reports and communicating them to the appropriate Registered Nurse, assisting with medication reconciliations, picking up blood products from the blood bank, maintaining an accurate supply count, ordering supplies, and communicating changes in supplies to other unit staff, ensure the nurses station stays clean and orderly at all times, meet and greet all patients that arrive to the floor, make sure that rooms are set up for the arrival of new patients, instruct patient and patient family on room controls (bed controls, call-light, TV,  etc...), discuss communication board and turn clock with patient and family upon arrival to unit and during patient rounds, distribute and explain discharge folders to all patients, conduct EVS rounding- by checking for broken items, placing work orders, and checking expiration dates. Additionally, LPN/Unit Secretaries can be expected to assist in maintaining high safety standards for patients, performing audits, taking vital signs, obtaining and transcribing an accurate patient home medications list, administering TB skin test, typing up patient discharge information, obtaining MD orders and communicating them to the registered nurse. While maintaining all of the duties described above, the LPN/Unit Secretary should also maintain efficiency within an electronic charting system.

Job Requirements:

  • Must have attended an accredited LPN program.
  • Must be currently licensed/registered in applicable State. Must maintain an active Licensed Practical Nurse (LPN) license in good standing throughout employment.
  • Must have current Basic Life Support (BLS) certification through a hospital approved service
  • Previous clerical experience with basic knowledge of computer operation in a health related field and experience as a Unit Secretary is preferred.
  • Prior health-care experience preferred.
  • Medical Terminology preferred.

Required Skills:
Employee must demonstrate ability to recognize patients' individual needs based on medical conditions, limitations and planned procedures. Requires high degree of accuracy, organizational skills and pleasant manner; good oral and written communication skills; strong desire to teach others unit secretary skills. Must be willing to rotate shifts, days off, weekends and work areas.

Essential Functions:

  • Greet visitors, ascertain purpose of visit, and direct them to appropriate staff.
  • Interview patients to complete medication reconciliations.
  • Be present and available during disposition rounds.
  • Review bed controls, call light, and TV controls with patient and family as well as instruct them on communication board and unit routine.
  • Schedule and confirm patient diagnostic appointments, surgeries, and medical consultations.  
  • Receive and route messages and documents such as laboratory results to appropriate staff.
  • Pick up blood products from the blood bank.   
  • Operate office equipment such as voicemail messaging systems, and use word processing, spreadsheet, and other software applications to prepare reports, invoices, and medical records.
  • Answer telephones and direct calls to appropriate staff.
  •  Compile and record medical charts, reports, and correspondence using a computer and various software programs. 
  •  Transmit correspondence and medical records by mail, e-mail, or fax.
  •  Maintain medical records, technical library, and correspondence files. 
  •  Perform various clerical and administrative functions, such as ordering and maintaining an inventory of supplies.
  •  Promptly answers patients' call lights and direct calls to the proper sources
  •  Participate in patient round at least twice a day to offer (juice, coffee, etc.) to patient (if they can have it) and family.
  •  Assist unit manager in completing audits.
  •  Complete EOC rounding by checking for broken items, placing work orders, and checking expiration dates.
  •  Distribute discharge folders to patients and explain the purpose.

Functional Demands:

  • Prolonged periods of standing, walking, or sitting while on duty.
  • Lifting, pushing, and pulling up to 25 pounds with or without assistance.
  • Visual and auditory acuity and manual dexterity essential to performing designated duties required.
  • Ability to perform effectively in a stressful and fast paced environment.
  • Ability to pass all required health and other screening tests.
  • Physical conditions are clean, neat and well lit. Maybe subjected to unpleasant sights and odors, stressful situations and hazardous or infectious agents where judgment as to precautions need to be taken is essential. Climate control an ambient temperature variances may be experienced. Exposure to limited amounts of hazardous chemicals or substances and infectious disease processes are a possibility. Hours of duty may be irregular or unexpectedly extended due to emergency circumstances.
  • Direct contact with blood or other body fluids to which universal precautions apply. Personal protective equipment is made available and must be worn.
