Job Summary

Provide administrative and clerical support to the Healthy Lives wellness department.  Responsibilities include telephone and interpersonal interactions with department staff, employees and outside clients. 

Experience

1-year administrative experience  

Education

High school diploma. 

Experience in health promotion, exercise science, community health, public health or related discipline required or the equivalent combination of education and experience. Must have a strong working knowledge of spreadsheet, word-processing and internet applications. Must maintain a positive and friendly attitude at all times in dealing with customers. 

Roles and Responsibilities

  • Coordinates all screening events according to Healthy Lives™ quality assurance and professionalism standards

  • Performs pre-event coordination activities including travel arrangements, ordering of all screening supplies and equipment, participation in pre-event meetings, reviewing client program specifics and coordination with on-site client contacts, administering a client site visit including as screening area walk through and education of program design, review of client demographics and screening staff profiles to determine station assignments and scheduling, complete set up either the day before or day of screening event

  • Address any malfunction of equipment or internet connectivity issues, address and resolve data entry errors

  • Maintains all screening technology equipment including but not limited to laptops, laser printers, barcode printers, internet routers, print servers

  • Maintains all screening equipment and supplies including but not limited to BP machines, Smokerlyzer® units and supplies, scales, venipuncture, supplies, portable privacy curtains, and general office supplies.

  • Work with screening staff to ensure materials and equipment is packed for events including paper materials, supplies and equipment.

  • Perform general clerical duties which will include but is not limited to telephone and email correspondence, completing various types of requisitions, data entry, photocopying, mail distribution, and file maintenance.

  • Work with coaches and marketing staff to provide paper and electronic materials on new offerings including class schedules, flyers, topic focus handouts and website links that the health coach might share with Healthy Lives™ members.

  • Provide staffing as needed for set up and registration services at screening events.
